Our client, an Asset Management Company, is looking for someone to fill a role which juggles a range of responsibilities to ensure the smooth running of all office procedures. The role will be supporting 2 senior Managing Directors and work with a successful team managing all aspects to ensure the day to day running of the office is smooth.

DUTIES/RESPONSIBILITIES

  • Supporting 2 Managing Directors and the Research team with administration support (Total office size is 6ppl)
  • Experience of booking travel and meetings across time-zones is important
  • The successful candidate will be naturally client focussed, with proven experience of building relationships with Directors and PA's, especially within overseas offices as you would be working very closely with them
  • Arranging meetings, both internal and external (including conference calls) and video conferences
  • Processing of invoices, expenses and reimbursements
  • Preparing meeting materials
  • Receive, screen and route all incoming telephone calls, mail and correspondence. Act as an interface between the firm and outside contacts
  • Assist with preparation of marketing materials
  • Maintain relationships with external suppliers including IT, couriers, building management
  • Duties ranging from managing stationery, policies, procedures, health and safety and liaising with building management
  • Ensuring the upkeep of the office supplies, facilities, health and safety and liaising with building management
  • Managing the day to day responsibilities of the Receptionist - Meeting and greeting clients & setting up meeting room
  • Research and ad-hoc projects as required
ESSENTIAL SKILLS/COMPETENCIES:
  • Previous experience gained within a PA/EA role ideally professional services/financial services
  • You will pride yourself on your people skills, time management and organisational skills
  • Excellent communications skills (written and verbal)
  • Solid IT skills and the ability to trouble shoot when required
  • Intermediate level Word, Excel, PowerPoint and Outlook
  • You will need to be self motivated, a team player and be assertive
  • Someone who is bright & bubbly
  • Likely to be Degree level educated
