You must inform your immediate Line Manager before applying for this post. Applications will be accepted from Sussex Police employees, Special Constables, Volunteers and Agency Staff covered under the Agency Worker Regulations (AWR) only. This does not include those individuals classed as Agency Workers but who are self employed. Any re-deployees who are identified for this role will be given preference.
We have vacancies for full time Secretarial Assistants in the Secretarial Operations Function to be based in Lewes.
Secretarial Assistants are responsible for the provision of a proactive, responsive and professional secretarial service to senior managers across the force. In this role you will provide quality, efficient and effective support and will act as the main point of contact for one or more managers.
Operating in a customer facing role you will have regular interaction with senior management teams and local line managers at all levels across the force.
Highly self motivated you’ll possess the ability to work with minimal supervision and to deliver high quality work to tight deadlines. You’ll have proven experience of managing competing priorities and planning and prioritising your work effectively. You will thrive on working in a busy unit and as part of a team. You’ll be expected to provide cover for your colleagues, as and when required so good team working skills and a flexible and proactive approach are essential.
This role will require a high degree of integrity and you will be required to maintain confidentiality and handle sensitive information appropriately. You should be able to demonstrate that you can take responsibility, that you can problem solve under pressure and that you can confidently make appropriate decisions.

Key Responsibilities Your role will involve diary and email management, drafting responses to emails and correspondence; producing, collating and circulating meeting papers; servicing and minuting a large volume of meetings; providing an effective note taking service and the organisation and booking of events, travel arrangements and accommodation. You will need to deal effectively with visitors and telephone calls, ensuring high levels of customer service.
Skills & Experience It is essential that you are able to demonstrate good interpersonal and verbal and written communication skills and that you possess GCSE English Grade c or above (or equivalent qualification).
You will have a proven track record of secretarial and office experience with advanced Microsoft office skills and a good level of IT literacy. Previous minute taking experience is essential and you should also have a typing speed of at least 45 wpm.
