YOU WILL HAVE EXPERIENCE OF PROVIDING SUPPORT WITHIN THE HR FUNCTION
To assist the Head of Personnel with the smooth running of the Personnel Department
To keep all relevant files up-to-date
To provide a confidential administration serrvice
To assist other departments as/when required, including Reception
IT literate (particularly Word, Excel and Outlook. Access knowledge would be advantageous)
Educated to at least A level standard
Good communicator (written and oral)
Strong administration skills
Strong interpersonal skills and ability to work with people at all levels

DUTIES WILL INCLUDE:
Open/close vacancy files
Agency/advert liaison - placing vacancy, arranging interviews, etc
CV collation (log and send to Department Heads)
Internal advertisement of vacancies

Training:
Create and monitor company training plan (spreadsheet)
Carry-out complete training course booking procedure (ie letter of repayment, booking, chasing, invoice coding, etc)
Ensure any subsequent follow-up training required is auctioned
Arrange internal training where necessary (including liasing with training providers and delegates, booking rooms, refreshments and equipment)
Keep all relevant files up-to-date

Absence Monitoring:
Sickness (ensuring relevant self certificate or Doctors certificate is obtained)
Flexi (including adjustments)

  • Issue, log and chase all 3 and 5 month assessment forms
Starter and Leaver administration
  • Set up new starter files
  • Close down leaver files

General:
Deal with all incoming post to the Personnel Department
Ensuring that relevant paperwork is ready for monthly payroll
General administration
General filing in order to keep all records up-to-date
Maintenance of the Personnel database including running ad-hoc reports for Management Meetings
Stationery replenishment
Monitoring department budgets and keeping accurate records of the Personnel department's expenditure
