You know business and admin processes inside-out, you’ll be a vital support to the departments. A champion of best practice business support, advice and expertise, you’ll be on hand to advise and guide them, while maintaining efficient records and assisting the Line Manager with specific projects. And because you’ll always have the bigger picture in mind, you’ll be confident challenging colleagues when you think there’s a better way of doing something.
About you
Organised and customer-focused, with great communication skills, you pride yourself on delivering clear, consistent and constructive business support advice. Advice that has a real impact on the way people think and work. Understandably, you’ll need plenty of practical experience and up-to-date knowledge of business administration and processes. We’d also like you to have a qualification in Business and Administration.
KEY RESULT AREAS:The post holder shall:
Act as first point of contact for incoming telephone calls, general email address & voicemail, and visitors to Blickling offices. Respond to enquiries, bookings and general information via telephone calls, emails and in person. Arrange meetings and produce agendas and minutes where appropriate. Maintain property diary and calendar Assist in accounting responsibilities such as PRS and petty cash when required. Maintain health and safety and accident reporting systems Handle routine office work such as filing, photocopying, data entry, correspondence, post and deliveries, financial records and so on Support visitor enquiries, such as lost property, requests for information, events leaflets, comment cards, requests from community groups Act as main point of contact for group bookings, liaising with Heads of Department as required. Coordinate and place stationery order Provide administration and general support to all departments as requested Process ticket bookings for property events using a computerised ticket booking system Assist in producing and mailing posters and leaflets to promote events and activities Work as part of the events team to ensure visitors have a very enjoyable experience; this may include attending events on evenings and weekends Be accountable for their own development through the Performance and Development Review (appraisal) process seeking out opportunities to learn new skills. (Individuals with line management responsibility are also accountable for the development of their staff.) Take reasonable care for the health and safety of themselves and of others who may be affected by their acts or omissions at work.
In addition, all employees are expected to work within the terms of their contract of employment and adhere to Trust policies and the Required Ways of Working. Job Requirements
KNOWLEDGE, SKILLS AND EXPERIENCE : Knowledge: Intermediate knowledge of MS Office package, including Word, PowerPoint and Excel. Good working knowledge of email and the internet Awareness, empathy and a genuine interest in the aims and objectives of the National Trust
Skills: Good grammar, spelling and use of English. Good interpersonal and communication skills, both verbal and written Flexible approach and team player, whilst also able to use own initiative. Numerate. Calm and confident. Well organised, with an eye for detail. Fast, accurate keyboard skills Capable of working alone and prioritising workloads in a busy office environment.
Customer service skills.
Experience: Has worked effectively as a team member. Experienced administrator, including proven skills in MS Office. Familiar with office practices and procedures. Additional Details
