My client, a professional services organisation with head offices in Oxfordshire, is currently recruiting for two bright, enthusiastic and well-organised individuals to join their fast-paced team for an initial period of 6 months.

The key parts of this role will include the following:
Administrative support to a team of four case investigators (who will be trainee solicitors) and one or two partners/senior solicitors who are the case managers

Each case investigator will have 12 cases, so that is 48 cases in the team

Using Outlook, Word and the firm's case management system and account management system

Opening new client files using the firm's case management and account management platforms

Ensuring accuracy of information / data on the Legis case management system. Ability to work autonomously and proactively in the updating of case management information.

Updating and data inputting into Excel - comprising monthly status reports on a regular and ad hoc basis

Liaison with case investigation teams

General team administrative support

Bundle collation, file management and secretarial support to team members which may include typing and preparing formal letters, email correspondence and telephone communication

Client and witness liaison tasks - which may include speaking with vulnerable witnesses on occasion to ensure completion of witness statements

Preparation and finalisation of witness statements - including amendments to be made to statements and documents/exhibit referencing and exhibit collation

Ability to work with accuracy and with attention to detail

Ability to work to deadlines, and autonomously, is crucial to this role

Ability to liaise closely with team members and to ensure that team members are aware of upcoming case specific deadlines is essential

The role is not a purely secretarial role and nor is it a pure administrative role. It will involve the candidate taking responsibility and working autonomously. It will also involve the candidate being able to work as part of a team in a demanding client service environment. Whilst this role description should help to provide a framework as to the expectations, there are likely to be ad hoc tasks which the team will need help with from time to time - therefore a degree of flexibility and adaptability will be an important character trait for the candidate.
