To be an integral member of the local Property and Corporate Services team and assist with the delivery of operational services and property administration matters for all staff in the Edinburgh office. The areas to be supported include provision of mail services, printing and binding, reception and front of house services cover, off-site archiving services, stationery, ISO compliance reporting, health and safety compliance, building maintenance, fault reporting and co-ordination and other associated client services.

Liaising with the local Deloitte and UK Central staff, and where appropriate external third parties. A 'can do' attitude is required together with a flexible approach as cover will be required for other members of the team during holiday periods or sickness absence.

Main Duties

Delivery of all mail and associated courier services.

Printing and binding of accounts, reports, presentations etc.

Cover on reception involving liaising with clients and hospitality.

Use of the on-line room booking system.

Involvement with meeting room/seminar facilities set-ups, inclusive of provision of audio-visual requirements.

Ordering of office supplies and services from agreed list of service providers.

Receiving goods from suppliers. (Manual handling training will be provided).

Distribution of stationery supplies to Resource/Copy and Printer Areas, as required.

Assist the local Property and Corporate Services Supervisor with building services and facilities liasing closely with maintenance and cleaning contractors.

Assistance with move projects and contracted building/reconfiguration works.

Liaising with contractors etc on repairs and maintenance issues.

Involvement with the ordering and maintenance of stationery and other facilities related equipment and services.

Ensuring compliance with ISO Security, Fire and Health & Safety related policies and procedures.

Assist the Local Property and Corporate Services Supervisor to maintain all areas of the building to the highest standard and to report faults to those responsible.

Assist with the testing of Business Continuity plan and maintaining emergency contacts/keyholders etc

Preparation of purchase orders and coding of invoices etc.
Delivery of archiving services.
May be required to be a Fire Warden (training will be given)

Knowledge/Experience Required

A high level of common sense and diplomacy.

Flexibility is essential to suit the needs and working practices of the department and its customers.

Client service and team-working is high on list of attributes and values.

Capable of operating as a member of a team and work unsupervised.

Ability to organise and prioritise workloads, together with the ability to handle deadlines and respond well under pressure.

Sound decision making capabilities.

Good written communication skills and an ability to deal with internal and external customers and contacts at all levels.

Previous facilities and front of house experience preferred.

Knowledge of filing and archive systems preferred.

Microsoft and Excel computer skills are a prerequisite.

Must be physically fit with have a smart appearance.

The post holder's main task will be to work as part of a team who assist the local supervisor with the delivery of all the tasks outlined above and have hands on involvement in most issues relating to operation of a commercial office environment. Candidates must have excellent customer care skills.

They must be able to operate with minimum input from their supervisor, exercise good judgement, initiative and decision making, have excellent written skills and be able to communicate effectively at all levels.
