A well established professional services organisation based in Leeds city centre are currently seeking a Post Room Assistant to join their team. This is a fantastic opportunity to work as part of a hardworking facilities team within a successful organisation.
The Role: Postal Duties: Collect morning paper; set room up for opening of post; open and sort DX and Royal Mail post; scan all post and process into a Case Management System; sort all post into pigeonholes and distribute to staff members; keep the post room stocked up and tidy; assist with franking of the evening post; count all the Royal Mail post and DX; write up special and recorded deliveries; and take DX to the delivery office.
Administration: File and update books in the Library; top up franking machine; get any keys cut; parcel up any deliveries; change toners in printers and faxes; take documents for copying; CD copying; receive deliveries and distribute; deliver documents; make up address labels; moving boxes; banking.
Scanning: Ensure all incoming post is scanned and then saved onto the system.
Archiving: Assist with archiving closed files and the retrieval of the same; arrange for collection of archived boxes; arrange for delivery of file requests; sort out file requests, locate the correct box, detail on Case Management System and hand out.
Photocopying: Assist with photocopying as and when requested; colour photocopying - for the Firm.
Faxing: Liaising with reception with distributing incoming faxes to the correct people at regular intervals throughout the day.
Stationery: Assist with stationery orders and keeping the stationery cupboards clean and tidy. Who we're looking for:
We are ideally looking for someone with previous post-room experience. You will have the ability to work under pressure whilst maintaining a friendly and cooperative approach towards clients and colleagues. It is essential you have excellent initiative, ability to work alone or as part of a team, and will be exceptionally organised with a methodical working style. You must be computer literature with good numeracy and literacy skills and a "can do" attitude. Ideally you will possess a Manual Handling Certificate (or be willing to undertake the certificate).
