Responsible to: School Education Service Manager

Reports to: Faculty Education Service Manager

Key relationships

Executive Director of the Language Centre, Deputy Director of the Language Centre (ELU), academic staff within the Language Centre, administrative staff within the Language Centre and School of Modern Languages and Cultures.

Main Duties and Responsibilities

Your duties will be flexible according to the needs of the School. You will be required to gain knowledge of different areas of student education administration and may be asked to assist in different process areas according to workload demands and priorities.

Strategy and Planning

• Contribute to strategic decision making by providing management information to the Language Centre Management Group

• Coordinate the collection and representation of market and student information, admissions data, customer care feedback, surveys of student destination etc to contribute to Language Centre strategy and planning work

• To ensure that Course Directors are fully up to date with the marketing, staffing and resources pictures for their courses

Office Manager

• Line manage all student education service staff in the English Language Unit

• Set objectives for and provide leadership and direction to student education staff within the ELU

• Ensure appropriate cover is provided at all times to ensure the smooth running of the administration of the Unit, including assessing staffing needs to cover enquiries, admissions and student support across the year, accounting for periods of significantly increased workload

• Coordinate the Staff Review and Development Scheme (SRDS) review meetings for student education service staff within the ELU

Admissions

• Oversee and coordinate admissions activity across the ELU, ensuring consistent and efficient processes are adopted and robustly applied

• Support relevant academic staff in relation to ELU admissions matters

• Provide management information relating to admissions numbers

• Maintain the ELU admissions policy

• Keep up-to-date with current legislation regarding admissions matters and good practice to ensure that ELU admissions are fully compliant with all statutory and other requirements

• Liaise with Faculty and University marketing teams as appropriate and in conjunction with relevant colleagues in the Language Centre and SMLC

• Act as liaison between the Language Centre and University admissions teams with respect to United Kingdom Border Agency (UKBA) and other aspects of admissions and testing work

• Provide administrative support to the Langentry team

Attendance Monitoring

• Manage the attendance monitoring process on behalf of the ELU for all taught students

• Maintain the ELU policy on non-attendance

• Ensure that up-to-date records of student attendance are maintained

Assessment

• Coordinate assessment activity across the ELU, ensuring consistent and efficient processes are adopted and robustly applied

Quality Assurance and Enhancement

• Coordinate quality assurance processes for the ELU in line with School and University policy

• Coordinate the collection and collation of student feedback

• Ensure that student feedback is responded to in a timely manner

• Coordinate student education enhancement projects in the ELU

• Coordinate, in conjunction with relevant colleagues, preparation for accreditation by relevant professional, statutory and regulatory bodies

Internal Market

• Represent the work of the Language Centre in relation to the schools of the University

• Support the in-sessional work, University English Language Test (UELT) and the Langentry Team, which provides specialist advice to admissions and other staff in receiving departments of the University of Leeds

• Act as liaison between the Language Centre and University admissions teams (for example, the Taught Postgraduate Admissions and Research Student Administration teams) with respect to UKBA and other aspects of admissions and testing work

• Coordinate with the Foreign Language Teaching Unit (FLTU) Director in support of developments under Languages@Leeds

General Student Support

• Manage the student enquiries service
• Assist front-line student education service staff as appropriate with complex or difficult enquiries from students

• Manage the coordination of induction activities for students in conjunction with the relevant academic staff

• Coordinate the production of student handbooks in conjunction with relevant academic staff

• Provide administrative support to the Langentry team

• Support in-sessional EL provision as required

• Ensure that student records processes are functioning efficiently and effectively within the ELU

• Facilitate the functioning of ELU staff-student forums in conjunction with relevant academic staff

• Have a broad understanding of the University, School and Language Centre regulations on attendance, discipline, and academic conduct, and know where students can find detailed information and advice on these matters

• Have a broad understanding of the University’s pastoral and support services offered by the Student Support Network, and refer students appropriately

• Maintain oversight of the homestay accommodation programme

General

• Member of the Language Centre Management Group

• Participate in School and University groups/projects/forums as relevant to your role

• Participate in and organise appropriate training

Person Specification

Essential

• Educated to A Level (or equivalent qualification or experience)

• Relevant administrative experience obtained in an educational setting

• Excellent interpersonal skills with the ability to build positive working relationships with staff at all levels

• Excellent written and verbal communication skills, including the ability to effectively interpret and communicate complex information (such as policies and procedures) to staff at all levels

• Ability to influence and negotiate effectively with others to achieve desired outcomes

• Ability to demonstrate experience of interpreting complex policies and regulations in order to provide advice to others

• Ability to assess and respond to the varying needs of students from a wide variety of backgrounds

• An ability to produce, manipulate and present data with accuracy

• Experience of working to tight deadlines and willingness to prioritise and provide support to other people when required

• Ability to work independently and as part of a collaborative team

• Ability to plan and allocate workload over the short to medium term, being aware of longer term issues

• An ability to plan, review and improve administrative processes

• An ability to identify and resolve issues and find practical solutions to problems

• Proficiency in standard Microsoft Office products or equivalent; ability to access, interrogate, interpret and report data from information management systems as required
